Using documents in Russia: apostille, authentication and translation are not the same

How to check the correct route for a Zimbabwean public document before presenting it to an institution in Russia.

01

Begin with the Zimbabwe authority named in official guidance

An official Zimbabwean embassy page says the Ministry of Foreign Affairs and International Trade authenticates documents issued by the Government of Zimbabwe. This gives a clear starting point for checking who handles that official function.

Record the scope exactly as stated: the claim concerns documents issued by Zimbabwe's government and names the ministry responsible for authentication. The document's destination and the receiving institution's requirements remain separate questions to confirm.

02

Pass the destination question to the Russian receiver

Official guidance from Mexico and Indonesia distinguishes the route by destination: apostille for countries that recognise the certificate and legalisation for countries outside the Convention. Use that distinction to ask which route applies, rather than importing a procedure written for a different destination.

Ask the institution in Russia to identify the document it needs, the version it accepts and any language requirement. Keep its answer beside the Zimbabwe authority's guidance so that the two responsibilities are not treated as one instruction.

03

Treat digital verification and translation as separate hand-offs

HCCH says an e-Apostille is an official Apostille issued in digital form and that Apostille certificates may be issued and verified only by designated competent authorities. For a digital file, note the authority and the official verification method it provides.

Peru's official guidance says that, in its procedure, a required translation must also be apostilled. Preserve that attribution instead of turning it into a universal rule, and ask the Russian institution what translation, scope and certification it requires for the Zimbabwean document.

04

Keep a hand-off record

A short record can follow the document from one decision to the next: exact document and issuer, Zimbabwe authority consulted, destination route, Russian receiver's answer, digital verification details and translation requirement. Each entry should identify who supplied the answer.

This record does not decide whether an application will succeed. It keeps authentication, destination, verification and translation attached to the authority responsible for each answer.
